1. Responsible in sending all the Renewal Notices minimum 90 days before Contract Expiry to all the tenants of all the buildings under the management of DRE. And follow up email and call 45 days before contract expiry.
2. Responsible for calling all tenants eligible for renewal to come to our office 15 days prior to the expiry of the contract.
3. Collecting all signed Tenancy Contract by tenant and landlord, along with the Ejari, Receipts, and Tenant’s document and upload it in the PACT Software, without fail on daily basis.
4. Check and Follow up all the complaints received from the tenant, especially maintenance complaints; and coordinate with the Maintenance department with this regards. And doing follow ups for the same. Must have a systematic reporting with tasks done.
5. Support Sales and Leasing executives for arranging the required documents in order to create tenancy contract, if needed.
6. Liaising between Sales Department and Accounts Department, handing over all the collected cheques from the Sales and Leasing and submit it to the Accounts after the Sales and Leasing Executive in charge created the contract.
7. Ensuring that before handing over the Tenancy Contract, Apartment keys and parking remotes to the tenants, the first payment is cleared from the Accounts Department and DEWA/SEWA account have been made under the tenants’ name. And if tenant vacates, you must ensure that remotes and keys are handed back to you.
8. Ensures that in the matter related to handing over and receiving the properties from the other member of the Sales team, like parking allocation and remotes, you should verify all that you received everything related to the property accordingly and professionally.
9. Processing security deposit refund as per required.
10. Do follow up calls to ensure that tenancy contract are renewed.
11. Make sure to answer company mobile at all times possible. And should reply to emails of tenants, clients and others, accordingly.
12. Handling tenant maintenance request, follow up and communicate with maintenance department to take necessary action.
13. And others as per superior request.
